01Who we are
This policy explains how Bolt Plumbing Services Inc. (“Bolt”, “we”, “us”), a New York plumbing, boiler and heating company, collects and uses information about our customers, website visitors and people who use the Bolt app and customer portal. The Bolt app section below covers the mobile app (iPhone and Android) and its connected web app.
02What we collect
- Contact information: your name, phone number and email address.
- Property information: service addresses and access details, such as unit numbers and building contacts.
- Job details: what you tell us about the problem, technician notes, estimates, invoices and service history.
- Photos: photos our technicians take on jobs, and photos you send us.
- Payment information: card and bank payments are handled by our payment processor, Stripe. We never see or store your full card number. We may see limited details, such as the card brand and last four digits.
- Messages: texts, emails and calls between you and us.
Our website and hosting provider may also record basic technical information, such as your IP address and browser type, to keep the site working and secure. We don’t use advertising cookies.
03How we use it
- To provide service, schedule and dispatch technicians
- To send estimates, invoices and receipts, and take payments
- To send appointment reminders and job updates by text, call or email
- To keep service records and handle warranty questions
- To meet legal, tax and insurance requirements
04We don’t sell your information
Bolt does not sell or rent your personal information to anyone.
06Text messaging
We text you only if you agree to it, for example by checking “Text me about this request” on our request form. Those texts are about your request and jobs: replies to your request, appointment confirmations and reminders, technician on-the-way notices, estimates, invoice links and receipts. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out or HELP for help.
We do not sell or share mobile phone numbers or text messaging opt-in data with third parties or affiliates for marketing or promotional purposes. The only companies that receive them are the messaging providers that deliver our texts.
07How long we keep it
We keep customer and job records for as long as we need them to provide service, honor warranties and meet tax and legal record-keeping rules.
08Security
We use reasonable safeguards to protect your information, and payment details are stored by our payment processor, not by Bolt. No system is perfectly secure, so please contact us if you think something is wrong.
09Your choices
You can ask us to see, correct or delete your personal information by emailing office@boltps.com. We may need to keep some records, such as invoices and payment records, when the law requires it. To delete your Bolt app or customer portal account, see Deleting your account.
You can stop texts at any time by replying STOP.
10Children
Our services and website are meant for adults. We don’t knowingly collect information from children under 13.
11The Bolt app
This section applies to the Bolt Plumbing Services mobile app for iPhone and Android (Android package com.boltps.tech) and its connected web app and customer portal. Bolt uses the app to coordinate service requests, jobs, customers, field technicians and office work. What the app collects depends on your role (customer, technician or office staff) and the features you use.
Information the app collects
- Account and contact details: your name, email address, phone number, user ID, company name, billing address and service-property addresses. Passwords are stored as salted hashes. Sign-in may use one-time codes sent by text or email.
- Job details: service requests, schedules, what the call was for, technician notes, work summaries, estimates, invoices, equipment and property history, and other information you or your organization enter.
- Photos, videos and files: job photos and videos, voice notes, documents, receipt images and signatures that you or our technicians choose to add.
- Location (technicians only): when a technician clocks in or out, the app can record the device’s precise location at that moment, if the technician grants permission. Company vehicles may report their location through our fleet-tracking service. Customer addresses may be looked up to show them on a map. The Android app does not request background-location permission.
- Payments: invoices and payment records. Card and bank payments are handled by our payment processor, Stripe. We never see or store your full card number; we keep a payment reference and limited card details such as brand and last four digits.
- Messages: texts, emails and WhatsApp messages between you and our office, and call details where calling features are used.
- Employee onboarding (staff only): when a new employee completes hiring forms, the app collects the details those forms require, such as date of birth, Social Security number, work-authorization documents, direct-deposit bank details and signatures. Customers are never asked for this information.
- Technical information: sign-in cookies, device and browser type, IP address and similar information needed to run and protect the service.
How the app uses it
To give you access to your account, schedule and carry out service, document the work, send estimates, invoices and receipts, take payments, communicate with you, run time clock and payroll records for our staff, provide support, keep the service secure and meet legal, tax and insurance requirements. The app has no ads and no advertising trackers, and we do not use your information for targeted advertising.
Who it is shared with
We do not sell or rent your personal information. Inside Bolt, people see only what their role needs. We share information only with service providers that run parts of the app for us, and only so they can do that work: hosting, database and file storage, email, text and WhatsApp messaging, calling, payment processing, receipt reading, fleet tracking and address lookup. For commercial jobs, we may share job details, photos and invoices with the building owner or managing agent who requested the work. We may also disclose information when the law requires it.
Permissions
The app asks for camera, microphone, photo, file and location access only for the features that need them, such as adding a job photo, recording a voice note or recording a time-clock location. You can turn these off at any time in your phone’s settings; the related feature then won’t work.
Security and retention
The app talks to our servers only over encrypted connections (HTTPS). Passwords are hashed, sensitive onboarding and bank details are encrypted in storage, and access is based on each person’s role. No system is perfectly secure, so please contact us if you think something is wrong.
We keep account information while your account is active. Job, invoice, payment, tax and employment records are kept as long as the law or our legitimate business needs require (for example, tax records are generally kept for at least seven years). When you delete your account, we delete or de-identify the information we no longer need.
12Deleting your account
You can delete your Bolt app or customer portal account at any time:
- In the app: open your profile and tap Delete my account.
- Online: fill in the request form at boltps.com/delete-account. No sign-in needed.
- By email: write to office@boltps.com from the email address or with the phone number on your account.
We delete your login, profile, contact details and the photos tied to your account within 30 days and confirm by email. We may ask you to confirm the request is yours. Invoices, payment records and job records that the law requires a business to keep are retained for the required period and then deleted.
13Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
